How to Track Stock In and Stock Out Using Barcodes

Stock in stock out tracking fails when people type quantities from memory. Barcodes force a physical touch: scan the unit, then change the number. That single habit cuts most “ghost inventory”.

Define the two movements

Stock in: PO receipt, returns, production output. Stock out: sales, transfers, scrap, samples. Same barcode; different quantity direction or reason column.

Simple sheet design

Floor process

  1. Stock in Scan each line (or carton QR), enter received qty, save.
  2. Stock out Scan picks; decrease qty or use auto-decrease columns where configured.
  3. Audit Cycle-count a bin; overwrite on-hand when physical differs.

Pick a model: movement log or running balance

There are two honest ways to track stock in and out, and choosing up front avoids a messy sheet later.

ModelHow it worksBest when
Running balanceOne row per item; Quantity goes up/down on each scanYou mainly need current on‑hand
Movement logOne row per event (In/Out, qty, time, ref)You need an audit trail of every move

Running‑balance setup

Keep Barcode, Name, Quantity, Location. Use triggers so a “stock in” scan runs increment and a “stock out” scan runs decrement on Quantity—no mental math at the shelf. Add a Min‑stock column and a notify rule so the sheet tells you when to reorder.

Movement‑log setup

ColumnExample
Barcode8690000000017
DirectionIn / Out (dropdown)
Quantity12
ReferencePO‑1042 / Order‑5571
Timestampauto date‑time

A movement log is slower to read for “current stock”, but it is the better choice when you must explain exactly how a number changed. You can summarise current on‑hand later with a grouped report.

Reconcile with a periodic count

Whichever model you choose, run a cycle count on a schedule and correct the sheet against the shelf. Scanning removes most entry errors, but physical counts catch shrinkage and mis‑scans.

FAQ

Can one scan both receive and ship?

Use the Direction field (or separate In/Out sheets) so each scan is unambiguous. Triggers then adjust the balance accordingly.

Does this sync to my online store?

Not automatically. You can push each movement to your own system with a webhook; store sync is not implied.

Example movement columns

ColumnUse
BarcodeItem key
QuantityOn-hand after movement
DirectionIn / Out (or separate sheets)
ReferencePO / order id (optional)

Automate reactions with Cloud sheet triggers (notify / webhook) when quantity changes—without claiming automatic ERP sync.
