Cycle Counting Made Simple: A Barcode-Based Guide

Barcode cycle counting replaces the dreaded yearly wall-to-wall count with small, frequent checks. Scan what is on the shelf; compare to system on-hand; fix the variance the same hour.

Pick a cadence

Count workflow

  1. Filter or list today’s SKUs Print a short pick list or use sheet search.
  2. Scan each unit or shelf label Enter physical qty.
  3. Overwrite on-hand when mismatch Log reason in a note column.
  4. Review variance report Export or ask Wisy for top misses.

Why barcodes beat clipboards

Clipboards invent digits. A scan proves the person stood at the bin. Combine with required photo on large variances for extra accountability.

Why cycle counting beats one big stocktake

A single annual count freezes the business for a day and still goes stale the next morning. Cycle counting spreads small, frequent counts across the month so errors are caught early and the shop keeps running. Barcodes make each of those small counts fast and accurate.

Prioritise with ABC

ClassShare of valueCount frequency

CLow‑value / slowQuarterly

You do not need perfect classes on day one—tag items A/B/C in a Dropdown column and refine over time.

Run it in four steps

  1. Schedule today’s small list (by ABC class or location).
  2. Count blind where possible—scan and enter what you see, not what the system expects.
  3. Review variance and recount the outliers before adjusting.
  4. Adjust and log so activity history records the correction.

We do not publish a fixed “X% more accurate” figure—improvement depends on your starting point. Measure your own variance trend over a few cycles instead.

FAQ

Blind or informed counts?

Blind counts (hide System Qty) reduce the temptation to “make it match” and surface real discrepancies.

Is there a Cloud template?

Yes—start from the cycle‑counting template and adjust columns.
