How to Scan Barcodes into Google Sheets Using Your Phone
Google Sheets is where many teams keep live stock lists, receiving logs, and audit trails. You do not need to type every SKU by hand. With WiScanner you can scan barcodes into Google Sheets in real time – each code lands in the active cell – or work offline on your phone and export the group of scans into Sheets whenever you are ready.
Two ways to fill a Google Sheet
- Real-time into a cell – phone scans over local WiFi; the Windows or Mac client types into the Sheets tab open in your browser (keyboard-wedge style).
- Offline scan → export later – collect barcodes in a WiScanner group without a live PC session, then export (CSV, Google Drive, or another integration) and open/import into Google Sheets when it suits you.
Pick the mode that matches the floor. Desk next to a laptop? Use real-time. Basement, loading dock, or weak signal? Scan offline and export when you are back online.
Method 1: Real-time scanning into Google Sheets cells
This is the same “type into the focused field” idea as Excel – Sheets in Chrome, Edge, or Safari counts as just another app that accepts keyboard input.
-
Install WiScanner on your phone.
-
Install the desktop client on the PC or Mac where Google Sheets is open.
- Join the same WiFi and pair once with the QR code from the desktop app.
- Open your Google Sheet in the browser and click the first cell that should receive a barcode.
- Scan with the phone. The value appears in that cell as if you typed it. Turn on Auto Enter / Tab so each scan jumps to the next row or the quantity column.
Useful for live counts, shared team sheets, and any workflow where co-workers should see new rows appear immediately. Need the Excel twin guide? Scan barcodes into Excel.
Method 2: Offline scanning, then export into Sheets
You do not always have a laptop open – or you may want a batch of codes ready before you touch the spreadsheet. Scan into a group on the phone (local to the device / session), then use WiScanner’s export options when you decide to move the data.
- Create or open a scan group on the phone and scan barcodes as you walk (quantity mode helps when many identical units are on a pallet).
- Press and hold the group name until the share / export control appears (see the export docs for the exact UI).
- Choose how to export:
- CSV – download/share the file, then File → Import in Google Sheets (or open the CSV in Drive and convert).
- Google Drive – send the export to your configured Drive integration, then open it from Drive into Sheets.
- FTP/FTPS or Webhook – if your stack prefers a server or automation instead of a manual import.
- Import or paste into the Sheet you use for inventory, receiving, or audit – on your schedule, not the moment each barcode was read.
That split – scan now, transfer when you want – is what makes offline or low-connectivity counts practical without losing work. More on local-first scanning: Barcode scanning without internet. Google Drive setup notes: Google Drive export.
Suggested Sheet layout
- Barcode | Quantity | Location | Timestamp / counter
- Protect header rows; leave the first empty data cell selected before a real-time session.
- After a CSV import, use Sheets filters or QUERY to reconcile against on-hand formulas.
When to use which method
- Real-time: shared live sheet, second person watching the screen, fast desk-side picks into Sheets.
- Offline + export: long aisle walks, intermittent WiFi, you want a clean batch upload after the fact.
- Both in one day: offline morning count → export to Sheet for review → afternoon exceptions fixed with real-time rescans into a “variance” tab.
