Peak Season Prep: Inventory and Fulfillment Checklist
Black Friday, Cyber Monday and the holiday rush pack weeks of orders into a few days. More orders, more channels, temporary staff and tighter shipping cut-offs mean every small stock error gets bigger. This checklist walks you through what to do before, during and after peak season – and how scanning with the phones your team already has keeps it simple.
What usually goes wrong in peak season
- Overselling – a product shows stock online that is not on the shelf, so you cancel orders and disappoint customers on your busiest days.
- Mispicks – the wrong size, colour or quantity goes into the box. Every mistake turns into a return and a reship.
- Stock you cannot find – incoming cartons are put away in a hurry and nobody knows where they went.
- Not enough scanners – seasonal staff join, but there are only a few handheld scanners to share.
- Slow onboarding – new people need to be productive on day one, not after a week of training.
- The January returns wave – returns pile up and stock records drift again.
Almost all of these come back to one thing: the stock in your system does not match the stock on the shelf. Fix that before the rush and keep it fixed during the rush, and peak season becomes much calmer.
6–8 weeks before: get your stock right
- Label every location. Give each aisle, shelf and bin a code so stock always has an address. The free warehouse location code generator builds the full list in seconds.
- Make sure every product has a barcode. Missing SKUs slow down every scan. Fill the gaps with the free SKU generator and print labels before the rush.
- Count your best-sellers first. You do not need a full stocktake – start with the products you expect to sell most. A short cycle count with your phone takes minutes per shelf.
- Clear the slow movers. Space and cash tied up in dead stock are exactly what you need for peak inventory. Bundle or discount them before the season starts.
- Correct your channels. Write the counted quantities back to every store, so online stock matches the shelf before the first campaign goes live.
3–4 weeks before: receive and prepare
- Scan incoming stock as it arrives. Receiving by barcode – with a quantity for full cartons – means new stock is counted the moment it lands, not when someone remembers.
- Put it away to a location and count that location, so you know where every carton is.
- Prepare the phones. Install WiScanner on the iPhones and Android phones your team will use, including those of seasonal staff, and pair the computers that need scans.
- Do a dry run. Pick and pack a few real orders end to end so everyone knows the flow before the volume arrives.
Peak week: keep orders and stock in step
- Scan every item you pick. Verifying each product against the order catches the wrong size or a missing item before the parcel is sealed.
- Fulfill and update stock in one step, so every connected channel shows the new quantity right away.
- Spot-count your top sellers daily. Five minutes per shelf is enough to catch a drift before it becomes an oversell.
- Keep the pick area stocked. Count the pick face, refill from reserve, and move on.
After peak: returns and a reset
- Scan returns in as they arrive and put them back on a location, so they become sellable again for the January sales.
- Run a post-peak count of the busiest zones and correct your channels.
- Review what sold and what did not – the count plus your sales report tells you what to reorder and what to clear.
How WiScanner makes peak season easier
Every phone becomes a scanner
Seasonal staff do not need a handheld scanner. WiScanner turns iPhone and Android phones into barcode scanners, and there is no limit on how many phones you use on the same WiFi. New people learn one routine – scan the item, move on – and are productive within minutes. See how it compares in phone vs handheld scanner.
Fast, accurate counts
The counting module keeps one group per shelf, aisle or zone with live running totals. Quantity Scan records full cartons in one scan, you can fix a wrong scan on the spot, and duplicate control sends repeated scans to a Failed list for review. Export counts as CSV or to Google Sheets and Drive.
Scan-to-fulfill with your store
With Pro, connect Shopify, WooCommerce, Etsy, ikas or Lightfunnels. You see incoming orders in the app, scan each item to confirm the right SKU and quantity, mark the order fulfilled and let WiScanner deduct the stock across your channels – or only from the channel the order came from. Read the full routine in barcode scanning for order fulfillment.
No overselling across channels
When one shelf feeds several stores, a sale on one channel has to reach the others quickly. Counting and fulfilling in the same app keeps every channel aligned – more in how to prevent overselling.
Works with the tools you already use
Pair a Windows PC or Mac and every scan types into the field where your cursor is – Excel, your ERP or a shipping tool. Scanning to the computer runs over your local WiFi, so a weak internet connection in the warehouse does not stop it (scanning without internet). For automation, send a webhook on every scan or export to Google Drive or FTP(S).
Pricing that fits a seasonal spike
Every scanning feature is included from the first scan. Start with 100 free scans to test your flow now, buy a 1,000- or 5,000-scan pack for the busy weeks – scans never expire, so what you do not use carries over – or choose Pro for unlimited scans and store integrations. See pricing.
A daily routine for peak week
- Morning: spot-count the top 10–20 products and correct anything that drifted.
- Before picking: refill pick locations from reserve and count them.
- All day: scan every item you pick and fulfill orders in the app so stock updates as you ship.
- Deliveries: scan inbound cartons with a quantity before they are put away.
- Returns: scan them in and put them back on a location the same day.
- End of day: export the day's counts to your sheet and check the products that are close to selling out.
The short version: peak season rewards the teams whose shelf and system agree. Count early, scan every pick, and keep your channels in sync – with the phones you already have.
