How to Set Up Barcode Inventory Tracking for Your Team

Shared inventory management is a people problem as much as a software problem. One login shared on four phones destroys accountability. Invite users, give roles, keep one sheet.

Setup sequence

  1. Owner creates the Cloud workspace cloud.wiscanner.com
  2. Build the sheet template Barcode + qty + location minimum.
  3. Invite by email or QR Warehouse staff can join from the app camera.
  4. Assign roles View-only for observers; rows.edit for counters; no delete for juniors.
  5. Train with 10 sample scans Then remove sample rows.

Governance that sticks

Shared inventory is a permissions problem first

The fastest way to lose trust in a stock sheet is to share one login across four phones—now no change has an owner. WiScanner Cloud is built the opposite way: each person is invited individually and gets a role that decides what they can touch.

A role model that works

RoleTypical rights
ViewerRead rows; no edits
CounterEdit row values (qty, location); no delete
LeadEdit + manage columns and corrections
AdminInvite users, manage API keys, settings

Permissions are granular—sheets, rows, import/export, users, API keys and Wisy can each be granted or withheld, and new members start view‑only until you assign more.

Accountability with activity history

Every change is attributable, and Cloud keeps activity history for a window that grows with your plan: 2 days on Free, 7 on Pro, 30 on Pro Plus, 90 on Team and 365 on Business. When a count looks wrong, that trail answers “who changed this, and when”.

FAQ

How do people join?

Invite by email, or let staff scan a join QR from the app camera.

Can juniors be stopped from deleting rows?

Yes—grant edit without delete so counts can be corrected but not removed.

Where do I buy more seats?

Cloud plans are purchased in the WiScanner mobile app; entitlements sync to the web. See Cloud pricing.
