How to Create a Custom Barcode Database in Minutes

A barcode database is simply a table where barcode is the primary key. You do not need SQL to start—define fields, import what you have, and let scans write the rest.

Minutes 0–5: structure

Minutes 5–15: load data

Import XLSX/CSV into WiScanner Cloud, map the barcode column, fix duplicates before save. Or start blank and scan items as you walk the shelf.

Minutes 15+: use it

Search by barcode or text, sort by quantity, print labels bound to fields, and invite a teammate. Your custom barcode database is live.

Pro tip: freeze column names early—formulas, mobile forms and MCP tools all key off those names.

Decide what each row represents

Before you create anything, answer one question: is a row a product type (one row per SKU, quantity goes up and down) or a unique unit (one row per physical item, like an asset or a serial number)? The answer sets your key column. Product catalogues use the shared barcode/SKU as the key; asset registers use a unique ID that is never reused.

Build the schema in one pass

FieldTypeExample
Barcode / IDBarcode (key)8690000000017
NameTextThermal label roll 100×150
CategoryDropdownConsumables
QuantityNumber60
Location / OwnerTextShelf B3
NotesTextReorder from supplier X

Import what you already have

Most teams already keep a list somewhere. Export it to CSV with a header row, match the columns to your sheet, and import. The barcode column becomes the key, so a later scan finds and updates the right row instead of creating a duplicate.

Grow it without a developer

A “database” here is a spreadsheet‑style Cloud sheet keyed by barcode—not SQL. That is a feature, not a limitation: anyone on the team can read and maintain it.

FAQ

QR or 1D barcode as the key?

Either works. Use QR/DataMatrix when the identifier is long or you want to embed extra data; a plain Code 128 is fine for short internal IDs.

What if a barcode is scanned that isn’t in the database yet?

A new row is created so nothing is lost; fill in the details later from the web grid.

Can I query it in plain language?

On Cloud, Wisy can answer questions like “find barcode …” or “show items in Consumables”, subject to your plan’s monthly AI allowance.

Worked micro-example

Illustrative only: import 30 SKUs from CSV, scan one carton to confirm the barcode matches the row, then update Quantity. No SQL database required—Cloud is a spreadsheet-style sheet keyed by barcode.

FAQ

Is this a SQL database?

No. It is a Cloud sheet optimized for barcode keys and phone capture.

QR or 1D?

Either works as the row key if the WiScanner app can read the printed code.
